Listing & Transaction Coordinator
The Listing & Transaction Coordinator manages real estate transactions from active listing to close and buyer contract to close, ensuring a seamless client and agent experience. This role supports communication, documentation, timelines, vendor coordination, and compliance while protecting the Sarver Group’s service standards and brand reputation.

Core Responsibilities
Contract-to-Close Coordination
- Initiate client relationship after contract execution via introduction call and email.
- Schedule and coordinate inspections, repair appointments, appraisals, final walkthroughs, and closings.
- Coordinate with the closing attorney and lender to prepare for settlement.
- Ensure attorney required Seller/Buyer Information sheets are completed and returned Obtain repair quotes.
- Manage all deadlines and contingency timelines.
- Track due diligence period outcome, financing, appraisal, and closing dates.
- Ensure all post-contract documentation is completed accurately and on time.
- Maintain complete and compliant transaction files within team systems.
- Ensure brokerage and state compliance requirements are audit ready.
Listing Coordination
- Initiate client relationship after seller contract execution via introduction call and email.
- Schedule Sign/lockbox drop off & pick ups.
- Coordinate Staging services with Style & Design or The Sarver Group Home Prep Consultant.
- Coordinate photographers and measurements.
- Input listing data and upload documents/photos for agent & client review.
- Prepare showing instructions and scheduling setup.
- Ensure listing readiness prior to activation.
- Update and Maintain Sellers Client Portal.
- Provide Sellers with bi-weekly Listing Activity Reports.
- Ensure brokerage and state compliance requirements are audit ready.
Communication Management
- Provide weekly progress updates to agents.
- Communicate regularly with team members, clients, lenders, attorneys, and vendors.
- Initiate detailed calendar invites for all important listing/transaction related dates.
- Send reminders for upcoming deadlines and missing documentation.
- Maintain professional communication representing the Sarver Group brand.
Client Experience & Professional Standards
- Provide a high-level customer service experience to clients and agents.
- Maintain confidentiality of all client and company information.
- Represent the Sarver Group professionally in all interactions.
- Maintain an organized workspace and accurate daily task tracking.
- Anticipate problems and proactively solve them before escalation.
Fit
- Licensed NC and/or SC Broker.
- 3 years experience in the real estate industry.
- Knowledge of NC & SC Real Estate Law & Regulations.
- Familiar with NC/SC Realtor Association Forms & standard legal documents.
- Ability to manage and carry up to 30 transactions per month.
